Summary:
The QTI Group has partnered with an accounting and tax services firm to find a dedicated and detail-oriented Temporary Administrative Assistant to support their team. This role will be responsible for managing confidential documents, assisting with tax return processing, coordinating office activities, and ensuring smooth daily operations. The ideal candidate is professional yet personable, highly organized, and thrives in a fast-paced environment.
This temporary position is expected to run from March 2025 to October 2025 and will operate Monday through Friday, 8:00 AM – 5:00 PM. The position offers $22 per hour.
Responsibilities:
- Scan, file, and upload confidential client documents to tax software.
- Retrieve and manage client documents for mailing tax returns.
- Download and process client forms from DocuSign.
- Respond to tax professionals regarding document receipt and verification.
- Upload client letters and documentation to storage software.
- Assist with printing and assembling client tax returns.
- Plan office events, including the April 15 celebration.
- Support the Office Administrator, Lead Administrative Assistant, and Tax Administrative Coordinator with special projects.
- Manage front desk operations, including greeting clients and maintaining office cleanliness.
- Oversee office meetings and catering, including scheduling, ordering food, and setup/cleanup.
- Maintain breakroom supplies and cleanliness.
- Process incoming and outgoing mail and UPS requests.
Qualifications:
- High school diploma or GED required; bachelor’s degree preferred.
- Minimum of three years of administrative experience required.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) required.
- Experience with PeopleSoft Financials preferred.
- Strong attention to detail and ability to handle multiple tasks in a deadline-driven environment.
- Excellent written and verbal communication skills, including proper grammar and punctuation.
- Ability to maintain confidentiality and handle sensitive information.
- Strong customer service skills with a professional and friendly demeanor.
- Adaptable, open to feedback, and able to work both independently and as part of a team.
